Workflow Solution

New Spark Media’s Workflow Solution is designed to streamline and automate the distribution of assets to a wide range of third-party platforms and destinations. This system ensures consistent metadata handling, flexible delivery triggers, and support for multiple file types and destinations — all managed from a centralized interface.

Purpose

To easily distribute files to third-party platforms through a set of configurable rules while standardizing metadata at a single entry point.

How It Works

  1. Upload a media file (e.g., video, image, document,archives) to the New Spark Media Platform.
  2. Attach metadata such as Title, Description, Tags, and other attributes.
  3. Our Metadata Templating System (powered by custom logic and transformation rules) adapts this metadata to meet the format and naming expectations of the destination system (e.g., Title becomes Header, Name, etc.).
  4. The asset is then automatically transferred to the selected destinations based on predefined rules.

Supported Transfer Triggers

Choose when to send the media:

Trigger EventDescription

After Media ConversionSends a converted version (e.g., MP4, JPG, PNG) to meet destination specs.
ManualYou decide when to send. Optionally schedule for a future time/date.
On ApprovalSends content only after it’s been reviewed and approved.

Each rule can be applied per file type, allowing custom workflows for images, videos, audio, documents, and more.

Supported Destinations

Our workflow solution supports delivery to both commercial platforms and custom destinations, including:

  • YouTube
  • Brightcove
  • JWPlayer
  • Widen
  • Amazon S3
  • SFTP / FTP
  • Custom APIs and Endpoints (upon client request)

Smart Metadata Mapping

Our templating engine supports:

  • Conditional logic
  • Text transformations
  • Field remapping
  • Fallback/default values

This allows precise metadata translation between your original metadata and the fields expected by each third-party system.

Notifications

On each transfer (success or failure), email notifications can be automatically sent to:

  • The original uploader
  • A project admin
  • Any custom email address defined in the rule

Access & Settings

Key configurable settings:

  • Auth Tokens and Profile IDs for secured integrations
  • File type restrictions (e.g., prevent .psd, .zip from being transferred)
  • Auto-delete rules (e.g., remove transferred files after 1 week)
  • Metadata validation with support for required fields and fallback groups

Example Use Case

Upload a .psd file. The system converts it to .jpg and sends it to Widen with transformed metadata. A custom email is sent to the uploader once completed. If a required metadata field is missing, an alert is triggered to notify the users of the missing data.
